Backup Procedure for MAZE servers

20 backup tapes have been provided by DECS to back up the MAZE servers.

These tapes should be replaced every 12 months.

Labeling tapes

These tapes are to be labeled as follows:

12 tapes are to be labeled one for each month i.e. January – December;
4 tapes are to be labeled for the first four working days i.e. Monday – Thursday;
The remaining 4 tapes are to be labeled Friday1, Friday2, Friday3, and Friday4.

Process

The tapes are to be changed as follows:

Tapes are to be changed daily with the appropriately labeled tape;
The daily tapes are to be cycled each week with the exception of the Friday tape;
The Friday tape is to be cycled every four weeks;
The monthly backup is to be done only after the end of month financial processing has been completed, and replaces the tape that would normally be used on that night.

The monthly backup tapes are to be stored for 12 months after which they can also be recycled.

Storage of tapes

    Tapes are to be stored in a secure, safe place away from magnetic, heat, and humidity sources.

    The tapes are to be stored until they are due for their next cycle as described above.

    Some of the tapes should be stored off site, for example at another nearby school. The most recent tape should be stored off site. It would be appropriate to also store the end of month tapes off site.

Cleaning tapes

    The cleaning tape should be used weekly, and replaced after 40 uses.

Checking backup logs

The backup log files should be checked daily to ensure that backups are successful. The backup logs reside on the G:\logfiles subfolder. For more details see the Hand Over Documentation.
